Preparing Identity and Educational Documents for Online Applications

How to prepare Aadhaar, PAN, marksheets and certificates for online submission — correct formats, sizes, masking rules, common rejection reasons and privacy precautions.

Identity and educational documents are the highest-stakes files most people ever upload. A rejected marksheet costs you an application cycle. A leaked Aadhaar scan costs you rather more. Both risks are reducible with a bit of care about how the files are prepared and where they are processed.

Preparation, step by step

  1. Capture properly. Flat surface, indirect daylight, flash off, phone parallel to the page, all four corners in frame. Our phone scanning guide covers technique in detail.
  2. Crop to the document edges with the Image Cropper, and straighten any rotation.
  3. Raise contrast until the paper reads as white and the print as solid black — but not so far that faint stamps or pale signatures vanish.
  4. Resize the long edge to roughly 1800 pixels. Ample for legible A4 text, and it cuts the file size dramatically.
  5. Combine multi-page documents into a single PDF with Image to PDF, in the correct page order.
  6. Compress to fit the limit — Image Compressor for single images, PDF Compressor for documents.
  7. Open the finished file and read it before uploading. Every page, right way up, fully legible.

Masked Aadhaar and what to redact

UIDAI provides a masked Aadhaar option that hides the first eight digits of the number, showing only the last four. Many organisations accept it, and where they do, it is strictly the safer thing to submit — a masked copy is far less useful to anyone who obtains it improperly.

Check whether the specific application accepts a masked copy before assuming. Some verification processes need the full number.

A related precaution: if you are sending a document for a specific single purpose, consider adding a light diagonal watermark stating that purpose and date — "For [organisation] application only, 25 July 2026". The name-mismatch case deserves emphasis because it is the one you cannot fix with software. If your marksheet says "Rajeev Kumar Saini" and your Aadhaar says "Rajeev K Saini", that discrepancy will surface at verification even if every file uploads cleanly. Sort it out at the issuing authority before it becomes urgent.

Organising the set

Applications typically want eight to fifteen documents. Preparing them ad hoc, one at a time, as each upload field appears is how pages end up in the wrong file.

  • Create one folder per application, named for the post and year.
  • Name each file for what it is: `10th_marksheet.pdf`, `photo_50kb.jpg`, `signature_20kb.jpg`, `income_certificate_2026.pdf`.
  • Keep a subfolder of originals at full resolution — you will need different sizes for the next application.
  • Keep a short text file listing what you submitted and when. Invaluable when a query arrives four months later.
  • Back up the folder somewhere other than the phone it lives on.

Privacy: the part most guides skip

Consider what a complete application folder contains: your photograph, your signature specimen, your date of birth, your address, your Aadhaar and PAN numbers, your bank account and IFSC, and your educational history. That is not "some personal data" — it is a functionally complete identity-theft kit.

Which makes the choice of file-preparation tool a security decision, not a convenience one:

  • Avoid upload-based online converters for these documents. You cannot verify retention, access control or deletion, and many are ad-funded operations with no stated data policy.
  • Do not process them on a shared or kiosk computer if avoidable. If you must, delete the files from the machine afterwards and empty its recycle bin.
  • Do not send them over public WhatsApp or Telegram groups.

Frequently asked questions

Should I submit a masked Aadhaar or the full one?

Submit masked wherever the organisation accepts it — it materially reduces your exposure if the file is ever mishandled. Check the requirement first, as some verification processes need the full number.

Do my documents need to be self-attested?

It depends on the application. Where required, sign across the document with the date, then scan. Some processes also require gazetted-officer attestation. Read the instructions — attesting when not required is harmless; omitting it when required is a rejection.

Can I submit a colour photocopy instead of the original?

For online upload you are submitting a scan either way. A clear scan of a good photocopy is usually acceptable, but a direct scan of the original is always better — photocopies lose contrast and can render stamps ambiguous.

My marksheet has front and back. One file or two?

One PDF with both sides as consecutive pages, unless the portal explicitly provides separate fields. Use Image to PDF to combine them in order.

The file is legible on my phone but they say it is not clear. Why?

Your phone screen is small and bright; the reviewer may be looking at a print or a low-resolution preview. Test by viewing at 100% zoom on a desktop monitor, or printing it. If the smallest text is not comfortably readable there, it is not clear enough.

Is it safe to prepare these documents using this site?

Yes, in the specific sense that matters: nothing is uploaded. All processing happens in JavaScript inside your own browser tab, the files never touch a network, and closing the tab discards them. We have no server that could store them even if we wanted to.
